Job Responsibilities
- Provides high level administrative support to the Program Director
- Helps with problem resolution to claimants, including employers, staff, clients, outside agencies, and the public.
- Assists with resolution of detailed programmatic and personnel issues and questions.
- Acts as a representative for the Director at meetings, organizational functions, and to community and partner organizations. Including County Board of Health meetings, the Community Advisory Board, etc.
- Manage sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting the operations of the center.
- Sustains a calendar of meetings and events for the center and the Director.
- Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects and other documents in support of objectives for the organization, including maintaining all contracts and memorandums of understanding (MOU).
- Drafts and prepares correspondence for internal announcements and meetings for the Director.
- Supports routine administrative functions for the Director and agency, including travel, vendors, telecommunications, contracts, purchasing, personnel, etc.
- Documents (e.g. logs, posts, records, etc.) data/information such as organizational unit or program area work activity, productivity, budget expenditures, investigative reports, and resource utilization.
- Evaluate and monitor program services and operational efficiency by conducting audits and analysis and preparing reports or recommendations for improvement. Provides technical assistance and program information to customers.
- Gathers detailed or confidential information, conducts interviews, etc.
- May assist in the operation, management and planning of the organization.
- Provides assistance and problem resolution to claimants, employers, staff, other agencies, and/or the general public.
- Performs job responsibilities with minimal supervision.
Minimum Qualifications
Bachelor's degree from an accredited college or university AND Three years of advanced experience in a customer service setting communicating information OR Five years of advanced experience in a customer service setting communicating information OR Two years of experience required at the lower level Customer Svc Rep 3 (GST122) or position equivalent.
