Physical Requirements
This position requires standard office setting practices including extensive computer use, sitting at a desk for long periods of time reading online materials, filing, answering the telephone and communicating with a diverse academic population, walking to campus locations and carrying up to 10lbs.

Job Summary
The Proposal Development Office at the University of Kentucky is seeking an Administrative Services Asst Senior. This position provides administrative support to the leadership and professional staff in the Proposal Development Office. The mission of this unit is to assist faculty, staff, and students in developing competitive grant applications for submission to external grant-making agencies. Responsibilities of the position are to provide administrative support and coordination of pre-award proposal development activities, including funding information monitoring and dissemination, data management and reporting, and office administration and grant proposal support.
Primary responsibilities:
- Serves as PDO’s limited submission manager responsible for overall coordination and processing of funding opportunities that limit the number of submissions by an institution. Drafts funding alert memos and coordinates posting and issuance of email funding alerts. Maintains web portal content. Conducts individual funding searches to identify specific grant opportunities.
- Provides support for data compilation, analysis, and reporting. Assists in designing and developing reporting tools and in preparing data tables for grant proposals. Maintains and updates designated subject and administrative mailing lists. Provides special project support related to data management and reporting, as assigned.
- Provides administrative and proposal development support to PDO leadership and staff, to include monitoring web-based PDO service requests, incoming telephone calls, visitors, and walk-ins. Maintains and monitors a centralized record of ongoing and completed requested client services. Schedules and coordinates PDO meetings, conference calls, and workshops and assists by preparing handouts/presentation materials. Assists in proposal development activities by formatting and editing PDO-generated reports, narrative, and supporting documents.

Preferred Education/Experience
Bachelor’s degree preferred. Prefer motivated candidates with experience in providing high level administrative support who can thrive in a fast-paced service environment and are committed to ongoing learning and the PDO mission.
