The hiring range for this role is:  

92,086.00 - 129,145.00

This is the lowest to highest salary we, in good faith, believe we would pay for this role at the time of this posting.  We may ultimately pay more or less than the hiring range andthis hiringrange may also be modified in the future. A candidate’s position within the hiring range may be based on several factors including, but not limited to, specific competencies, relevant education, qualifications, certifications, relevant experience, skills, seniority, performance, shift, travel requirements, and business or organizational needs. This job is also eligible for annual bonusincentivepay.

Job Description Summary:

This position provides Workplace Services (WPS) support for all BCBSA employees, visitors, and vendors. It serves as the primary point of contact for building management, third-party service providers, and WPS staff for onsite event coordination. Responsibilities include vendor management, contracting, invoicing, and coordination of the WPS operating budget. The role requires regular interaction with all levels of BCBSA employees to address space and building system issues in real-time, ensuring high-level customer service. The ability to manage multiple WPS projects concurrently and maintain strong relationship management skills is essential.

Responsibilities include but are not limited to:

Primary Job Functions

  • Building Management Liaison: a) Monitor building management against lease requirements for office. Act as liaison between building management and employees providing communication of building access, maintenance, and other events. b) Coordinate with all WPS team members for on-site perspective regarding building management and outsourced service providers performance. c) Function as BCBSA WPS representative with regular meeting and coordination with building management to ensure awareness of any all changes to building policies/procedures, access, and events.
  • Vendor Management: a) Procure and manage All WPS vendor resources to provide janitorial, repairs and maintenance services, furniture repair/maintenance, and leasehold improvement to the premises, ensuring timely and effective delivery of services and efficient and competitive use of budgeted and approved resources. b) Source and prepare vendor procurement requisitions and documentation; schedule and coordinate installation; oversee maintenance of attic stock material inventory and overall management of WPS internal and ancillary storage spaces.
  • BCBSA WPS Customer Service Liaison: a) Regularly meet with Executives and Executive Assistants s across departments/divisions to ensure all needs related to office space, systems, and WPS vendor are being performing at high level. b) Ensure all WPS communications are accurate and up to date on BCBSA internal website, helpdesk email inbox, and Service Now Facilities management system. c) Provide representation of BCBSA WPS team for all onsite events and activities ensuring a high level of support and customer service.
  • WPS Technology Management: a) Secondary WPS Technology Administrator for the Security Access Control keycard system as well as Service Now WPS Maintenance System. b) Function as liaison with the internal IT department and vendors for all WPS technology/systems. Manages the data entry and upgrades for each system. c) Provide administration of Save-A-Space Reservation system management, including coordination of larger meetings events with catering team and room setup/breakdown requests for all employee meetings and events.
  • WPS Budget & Financials: a) Track and manage monthly operating expenses in coordination with WPS team members. Prepare vendor proposals for forecasting/budgeting submissions to the Finance department. b) Provide analysis of WPS operating expenses to ensure the effective, efficient and competitive use of budgeted and approved resources. c) Review Facility Management invoices for services and/or goods received, accuracy, and prepare invoices for approval and payment working closely with procurement and accounts payable departments.

Required Education, Certifications and Experience

Education

  • Required: Associate Degree or equivalent experience



Certifications

  • Preferred: CFM (IFMA designation of Professional Facilities Manager) or FMA (BOMI equivalent of Professional Facilities Manager).



Experience

  • Required: Minimum of five years of experience in office administration, facility, or property management. Experience with ServiceNow or similar workflow management tool.
  • Preferred: Computer-Aided Facilities Management (CAFM) experience

Knowledge, Skills, and Abilities

  • Ability to be in-person, in office at least four days a week.
  • Ability to have attention to detail
  • Ability to demonstrate a sense of urgency is required.
  • Ability to prioritize and perform multiple assignments simultaneously.
  • Ability to professionally interact with all staff levels including Senior Leadership.
  • Ability to interact effectively with third-party service providers.

  • Proficiency in Microsoft software applications: Word, Excel, PowerPoint.
