Position Description

The Harvard Library Financial Planning and Analysis (FP&A) team seeks to recruit a talented and driven Associate Director to join our team. The FP&A team leads the library in financial planning, analysis, and guidance on matters including budgeting, forecasting, capital project planning, fund management and compliance, FTE management, as well as ah-hoc projects for Harvard Library and Harvard College Library funds. The annual budget includes revenue sources largely consisting of the allocation, endowments, and subventions that support FTEs (including students), space (rent, operations & maintenance, capital), collections development, and other library related expenses.
The Associate Director (AD) will report to the Senior Director of Financial Planning and Analysis and support the management of budget, multi-year financial planning, and capital planning related deliverables to central units. The Associate Director will identify operational and financial risks and opportunities with the Senior Director and lead the library and FP&A in strategic financial planning and forecasting, sustaining financial stewardship, and be a resource for library leadership on decision-making thus enabling library priorities.
DUTIES AND RESPONSIBILITIES
- In collaboration with the Senior Director, leads FP&A, library budget managers, and VPDR in the HCL budget and MYFP development, reporting and presenting to VP of library and FAS Finance.
- Review HCL budget and endowments to identify financial risks and strategize with Senior Director opportunities for long-term financial sustainability, enabling operations and achieving library goals.
- Investigate University discussions on the exploration of GenAI at Harvard and how to leverage financial systems and tools to enhance efficiency and accuracy of administrative work, and strategic decision-making capabilities.
- Develop and implement internal documentation for HCL FP&A related files and deliverables throughout the year, creating FP&A workflow, coverage, and business continuity.
- Develop and implement new and advanced financial analysis workflows and techniques to enhance FP&A services to Library clients.
- Collaborate with cross-functional teams to ensure alignment to financial plans with strategic objectives.
- Manage a budget portfolio consisting of quarterly financial analysis, reporting, meeting, and FTE management. Provide financial planning guidance to library budget managers and on fund management.
- Perform additional ad-hoc financial analysis as needed to inform library leadership and to aid in decision-making.
- May provide mentoring and training to staff.
- Contributes to the overall goals of the department as appropriate.
- Provide support as needed to further the integration of the Harvard Library and Harvard College Library finance organization.
Basic Qualifications
- Bachelor’s degree or equivalent work experience required
- Minimum of 8 years’ relevant work experience
Additional Qualifications and Skills
- Supervisory experience preferred.
- Advanced knowledge and experience with Microsoft Office Suite, Excel and PowerPoint skills.
- Advanced knowledge and experience of budget management, financial analysis, financial modeling; working knowledge of accounting principles.
- Advanced knowledge and experience with financial systems and data query tools.
- Harvard financial administrative systems (HUBS, SmartView, Oracle, CAPS, CPATH, PeopleSoft) knowledge and experience a plus.
- Ability to work in ambiguous environment: to define objectives, set tasks, build relationships, and achieve outcomes.
- Excellent written and verbal communication skills.
- Excellent interpersonal skills: ability to work well within a large and complex organization; ability to build strong relationships with constituents and provide services and information to meet their needs.
- Collaborative working style with excellent consultative, project management, problem solving and presentation skills.

Working Conditions
- The work associated with this position is performed in a library/office setting.
- The position is based on site in Cambridge, MA. There may be the opportunity for a hybrid work model compliant with Harvard University policies.
- Work location is responsive and subject to change based on business needs. Requests for flexibility will be considered consistent with Harvard University flexwork policies.
Work Format Details
This is a hybrid position that is based in Massachusetts. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only).
